Position Overview:
The Document Control Specialist position serves as primary controller for document imaging system, document intake procedures and quality control checks on data, ensuring transcripts from incoming students are received and recorded accurately.
Essential Duties:
- Organize and manage the collection and distribution of incoming recruitment and admissions related documentation and information requests.
- Scan and index admissions documents, particularly received transcripts, into the student information system using Application Xtender’s document management software.
- Responsible for downloading applicant electronic transcripts from electronic exchange websites, including:
Parchment, eScript-Safe, National Student Clearinghouse, Royall, Joint Services/SMART, AARTS, World Education Services, Educational Credential Evaluators, AACRAO, Credentials Solutions, Cisco Registrar’s Exchange, and National Transcript Center, and others as needed. - Review and certify secondary and post-secondary transcripts for accuracy and authenticity, applying and interpreting admissions and records policies in a variety of procedural situations.
- Periodically perform quality control checks on data and document imaging process, preparing reports of quantities of documents processed as needed.
- Provide excellent customer support and service to all stakeholders, defined as Regent applicants, Regent faculty and staff, and representatives from external institutions and vendors with whom this position directly communicates.
- Assist with Commencement planning and activities. Provide backup and assistance with other Registrar’s Office scanning, indexing, record updates, and data entry projects as needed.
Qualifications:
- High School Diploma (Bachelor’s degree preferred)
