Description
MPF Federal is seeking a Sr Management Analyst in Suffolk, VA to perform general daily office tasks, organize office activities, and a variety of ancillary office support functions by using a combination of office automation hardware and software programs to carry out a variety of program management office, clerical, and technical duties. This individual would support the execution and management of Standard Operating Procedures (SOP) / business rules efforts by facilitating the coordination of SOPs/rules, writing and reviewing, and ensuring the products are properly written and coordinated through the approval process.
Responsibilities:
- Compose, write, review, maintain, and archive quality official correspondence, reports, letters, notices, instructions, memoranda, and documents for signature. Will utilize and be proficient with the Microsoft Office suite of tools and various software types such as internet, database, spreadsheets, calendars, and electronic mail. Perform word processing to texts, tables, and graphs; generate reports and memoranda, and support briefings and technical presentations.
- Review, edit, and ensure accuracy of reports prior to release to government officials. Responsible for correct format, spelling, punctuation, and grammar.
- In accordance with all Joint Staff instructions, apply Joint Staff formatting templates to all correspondence, awards, and reports received from the divisions that require Flag Officer or Senior Executive Service review and endorsement.
- Maintain, monitor, update, and report status of program action items. Track, file, and log correspondence to coordinate program planning. Prepare findings on program issues to present facts and make suggestions for improvement.
- Attend meetings pertaining to areas of responsibility and prepare meeting notes and documents for highlighting major topics of interest.
- Liaison with personnel to resolve issues and to enhance information.
- Receive, review, and submit accurate, error-free DTS (Defense Travel System) to RAMO.
- Produce bi-weekly balance reports for all DTS funding lines of accounting in support of the bi-weekly budget meeting.
- Produce quarterly and annual government travel-related reports in accordance with the template and division schedule.
- Maintain, monitor, and synchronize calendars, schedules, events, briefings, meetings, invitations, and activities. Serve as receptionist for visitors with scheduled office calls.
- Maintain conference room calendars, and coordinate all scheduling requirements with personnel as needed.
- Coordinate electronic invitations, event registration, and user access for event participants.
- Provide support for division-hosted events in Suffolk, VA.
- Conduct support for personnel actions to include preparation of military and government evaluation and appraisals, awards, training, and related documents.
- Track and process personnel evaluations, awards, and other personnel actions requiring joint interaction.
- Coordinate and prepare travel plans, support the Resource Acquisition and Management Office’s (RAMO) Defense Travel System (DTS) travel order/authorization approvals, reservations (as required), and travel claims/vouchers for settlement/payment.
- Perform duties as the Joint Knowledge Online Assistant Training Coordinator. Responsible for tracking personnel training to include enroll/unroll students for courses; apply/deny enrollment requests; and running reports across the division.
- Manage all front office (FO) and divisional supplies and expendables. Track utilization and provide ordering requirements to appropriate leaders.
Requirements:
- Must be a US Citizenship and maintain at least Secret level clearance.
- Must have an Active Secret Clearance.
- Task Management Tool (TMT) experience is required.
- Defense Travel Systems (DTS) experience is required.
- Proficient with Microsoft Office Suite (including but not limited to Microsoft Word, Excel, and PowerPoint).
- Must have data entry speed, accuracy, proficiency, and attention to detail.
- Strong attention to detail.
- Excellent communication skills including the ability to interact with executive levels and senior military leadership.
Work Requirements:
This position is located in an office environment and is mostly sedentary. The person in this position needs to occasionally move about inside the office to access file cabinets, office machinery, etc. This role constantly operates a computer and frequently communicates with colleagues, vendors, and customers via telephone, email, and in person. Occasional lifting of no more than 25 lbs may be required.
